How to make your business answer enquiries at 11pm
A meaningful share of enquiries arrive after you have shut. Here is how to capture them without pretending a bot is you.
Think about when your customers are actually free to think about buying from you. After dinner. On the commute home. Sunday morning. Almost never during your working hours, because they are working too.
So a share of your enquiries arrive when nobody is there. Some of those people wait for you. Most message somebody else.
Three levels, in increasing order of effort
Level 1: the away message (10 minutes, free)
WhatsApp Business lets you set an automatic reply outside your working hours. Most businesses either skip it or write something useless like "We will get back to you."
A good away message does four things:
"Thanks for messaging [business]! We are closed right now and will reply at 9:30am tomorrow.
If it is urgent, call [number].
Prices and options: [link]
Book a visit directly: [link]"
It sets an expectation, gives an urgent path, and — crucially — gives them something to do right now instead of waiting. A meaningful number will book themselves overnight.
Level 2: the self-serve page (an afternoon, free)
Half of all after-hours messages are the same three questions: what does it cost, do you have it, and where are you. Put those answers on a single page and link it from the away message, your bio and your Google profile.
- Price ranges, stated plainly, not "contact for price"
- What is included and what is extra
- Your hours and a map pin
- The eight questions you are asked on every call
- One clear next step — a booking link or a callback form
This page pays for itself twice: it serves the night-time customer, and it is exactly the kind of specific content that gets you found in the first place.
Level 3: a real automated flow (a week, small cost)
Worth building when after-hours volume is genuinely high and level two is not keeping up. A simple decision tree, not a conversational AI:
- Greet and identify what they want, with buttons rather than free text
- Answer the common case directly
- Capture name, number and requirement for anything else
- Hand it to a human first thing in the morning, with the context already collected
Buttons beat open conversation here. They are faster for the customer, they never misunderstand, and they never invent an answer.
The rule that keeps this from backfiring
Never let an automated reply pretend to be a person. Say "automated reply" or use the business name, not yours. Customers are entirely comfortable with a bot that is honest about being a bot. They are not comfortable discovering that the warm, helpful "Srinath" they were chatting to at midnight was a script — and that discovery costs you the trust you were trying to build.
The morning routine that makes it work
None of this matters if the overnight queue is not cleared. Build the habit: first thirty minutes of the day, before anything else, every overnight enquiry gets a real human reply. Not a batch at lunchtime. First thing, while you are still ahead of the competitor who is opening their phone at eleven.
The number to watch
Count what share of your enquiries arrive outside working hours for one month. Most owners guess low and are surprised. Whatever the number is, that is the share of your pipeline currently depending on a customer's patience — and patience is the one thing you cannot ask for more of.
